Administrator

DRAF is seeking a dynamic and enthusiastic full-time Administrator to work closely with a small, busy team supporting all areas of the organisation’s activities. This role will be responsible for administrative tasks at DRAF including general office management, communications support, assisting with preparation of events and exhibitions and coordinating partnership and funding applications.

DRAF is an independent, non-profit organisation for contemporary art in London founded in 2007. It presents an international programme of exhibitions, commissions, performances, discussions and events. Following 10 years of successful programming in its London gallery spaces, DRAF is evolving. The next phase of the organisation will include delivering a UK-wide collaborative programme, continuing to present projects in London and increasing the visibility of a contemporary Collection comprised of over 2,000 works. The Administrator will play a key part in enabling the team to develop this expanded approach and take the organisation into exciting new areas of work.

Main Duties
General

  • Support DRAF team with administrative tasks and other activities
  • Organise accounts, including meticulous recording of invoices and other finance procedures
  • Respond to public and partner enquiries
  • Manage DRAF project filing, image and video archives and contacts database
  • Oversee and manage supplies for productive DRAF working environments
  • Manage schedules for interns and freelance employees •
  • Minute-taking at internal and external meetings as required
  • Represent DRAF with a friendly, professional manner in all internal and external relations

Communications

  • Oversee all social media channels by initiating and managing all activities and updates
  • Assist with wider social media strategy
  • Compile, prepare and distribute newsletter
  • Support preparation, proofing and production of press releases, press packs and printed communications
  • Maintain and update DRAF website content including text, images and film
  • Coordinate regular analysis of social media and website statistics
  • Assist with design and production of external reports, presentations and funding applications
  • Maintain up-to-date project files and documentation, and any other duties as requested by colleagues
  • Research, review and update contacts database in line with DRAF privacy policy
  • Compile, review and maintain digital and physical press archive

Events and production

  • Support preparation of all DRAF events
  • Provide hands on assistance and fulfil front of house duties at events
  • Manage guestlists, invitation mailings and RSVP lists
  • Book travel and accommodation
  • Assist with planning catering and hospitality
  • Archiving event documentation
  • Researching and order materials needed for events

Person Specification
Essential

  • Proficient and skilled administrator
  • Highly organised, with proven track record of time management and prioritisation Collaborative and enthusiastic attitude, ability to work closely with
  • colleagues at all levels Good experience of database management
  • Excellent knowledge of social media platforms
  • Experience working with communications and audience development in the cultural sector Fluent English, with excellent writing and communication skills, and attention to detail Ability to operate MS Word, Excel, Mac and Adobe Indesign and Photoshop software Team player with a friendly, supportive approach

Desirable

  • Familiarity with arts organisations in London and across the UK Experience working with hospitality, patrons and supporters
  • Interest in contemporary art
  • Experience of using video editing tools and website back-end systems Some experience of working with budgets and accounts
